Cash Chat Code of Conduct/Ethics for Staff

Effective Date: March 6, 2025

The following Code of Conduct and Ethics outlines the behavioral expectations for all Cash Chat Limited employees, contractors, agents, and affiliates (“Staff”). Our goal is to maintain a high standard of professionalism, integrity, and responsibility in all interactions related to Cash Chat’s services, clients, and business operations.

By working at Cash Chat, each member of staff agrees to uphold these principles and act in accordance with the ethical standards described herein.

1. Integrity and Honesty

  • Staff must conduct all business activities with the highest level of honesty and integrity.
  • Any form of deception, misrepresentation, or fraudulent activity will not be tolerated.
  • All communications, both internal and external, should be truthful, transparent, and accurate.

2. Confidentiality and Privacy

  • Staff must respect and protect the privacy of Cash Chat’s users, clients, and any confidential information they have access to.
  • Sensitive data, including user personal information, financial transactions, and proprietary business information, should never be disclosed to unauthorized individuals or entities.
  • Staff should adhere to all relevant data protection laws, including but not limited to the General Data Protection Regulation (GDPR) and local Ugandan data protection laws.

3. Compliance with Laws and Regulations

  • Staff must comply with all local, national, and international laws, regulations, and guidelines applicable to Cash Chat’s operations, including financial regulations and industry standards.
  • This includes compliance with the Payment Card Industry Data Security Standards (PCI DSS) and other security standards for online payment systems and data storage.

4. Fairness and Non-Discrimination

  • Staff must treat all users, colleagues, and business partners with respect, fairness, and dignity.
  • Discrimination, harassment, or abuse based on race, ethnicity, gender, age, sexual orientation, disability, religion, or any other characteristic is strictly prohibited.
  • Cash Chat is committed to fostering a diverse and inclusive workplace, and staff are expected to embrace and promote these values.

5. Respect for User Rights

  • Cash Chat staff must prioritize the rights of users in all actions, including respecting users’ decisions regarding the use of their personal data and ensuring user access to the services in accordance with the Terms and Conditions.
  • Users should be treated with respect, and their requests, including account deletions or complaints, must be handled promptly and with due consideration.

6. Avoidance of Conflicts of Interest

  • Staff must avoid situations where their personal interests conflict with their professional duties.
  • Any potential conflicts of interest, whether real or perceived, should be reported to management immediately. Staff must disclose any personal relationships or financial interests that may influence their work on behalf of Cash Chat.

7. Accountability and Responsibility

  • Staff are accountable for their actions, both individually and as a team, and should accept responsibility for their work.
  • All employees must complete assigned tasks in a timely and accurate manner, follow internal policies and procedures, and meet performance expectations.
  • If mistakes occur, staff must report them transparently and take appropriate corrective action.

8. Security and Protection of Company Assets

  • Staff are responsible for safeguarding Cash Chat’s physical and digital assets, including hardware, software, intellectual property, and financial resources.
  • Employees should use company resources and systems responsibly and for their intended purposes only.
  • Unauthorized access to user data or other sensitive company information is strictly prohibited.

9. Professional Conduct and Workplace Behavior

  • Staff must adhere to the highest standards of professional behavior, including maintaining respectful communication, effective collaboration, and ethical problem-solving.
  • Staff should foster a positive and supportive work environment and refrain from engaging in disruptive or unprofessional conduct.

10. Transparency in Business Practices

  • Cash Chat values transparency in all business practices, including financial transactions, advertising, and affiliate programs.
  • Staff must avoid any actions that could result in the manipulation or exploitation of Cash Chat’s users or business operations.
  • If staff members become aware of unethical practices or violations of company policies, they must report them through the appropriate channels.

11. User Interaction and Support

  • Staff involved in customer service and support must approach user interactions with professionalism, empathy, and a commitment to resolving issues fairly and efficiently.
  • Staff should ensure that all users are informed about their rights, the available services, and any relevant terms and conditions associated with Cash Chat.
  • Any complaints or disputes raised by users should be addressed in a timely and thorough manner.

12. Anti-Corruption and Anti-Bribery

  • Cash Chat has a zero-tolerance policy towards bribery, corruption, or unethical business practices.
  • Staff must not offer or accept bribes or kickbacks in exchange for business or personal advantages.
  • All staff must report any attempts of bribery, corruption, or unethical conduct to management immediately.

13. Social Media and Online Conduct

  • As Cash Chat operates a social media platform, all staff are expected to engage with users respectfully on the platform and avoid sharing false, misleading, or offensive content.
  • Staff should be mindful of their personal social media activity and its potential to reflect on Cash Chat’s reputation.
  • Employees are prohibited from engaging in harassment, bullying, or illegal activities via Cash Chat’s social media app.

14. Ethical Advertising and Content

  • Staff involved in advertising operations must ensure that all advertising content on the Cash Chat platform adheres to ethical standards and complies with local laws and regulations.
  • Advertisements should be truthful, not misleading, and should avoid promoting harmful, illegal, or inappropriate content.

15. Whistleblower Policy

  • Cash Chat encourages staff to report any unethical behavior or violations of these Code of Conduct/Ethics. A whistleblower reporting system is available to ensure that staff can report concerns anonymously if needed.
  • Retaliation against individuals who report unethical behavior in good faith is strictly prohibited.

16. Consequences of Violating the Code of Conduct

  • Violations of this Code of Conduct may result in disciplinary action, up to and including termination of employment or contractual agreements.
  • In cases of severe violations, legal action may be pursued.

By adhering to these principles, Cash Chat staff will ensure the company’s success and maintain its commitment to providing a secure, fair, and professional service for all users.
